Steps in the Electronic Thesis and Dissertation (ETD) Submission Process

  • Step 1: Read the Graduate School Guidelines for Preparation of Theses / Dissertations. Download the appropriate template for your paper.
  • Step 2: Write your thesis or dissertation. Follow your graduate program’s style guide and Graduate School guidelines.
  • Step 3: Pass your defense.
  • Step 4: Your committee will sign the Approval forms (One Approval Form and One Oral Defense form.)
  • Step 5: Submit your ETD to the Graduate School via the ProQuest submission web page.
    • Go to the ProQuest submission web page and create an account with login and password.
    • Input your contact information and details about your paper.
    • Respond to submission and publication questions (copyright, embargo, bound copies, etc.) and pay the minimum required Library Copy fee. See Graduate School Guidelines for more information.
    • Submit your ETD as a PDF file and supplementary files (if any).
    • Select "Submit" to submit to the Graduate School.
    • You will receive an email from ETD Administrator confirming that your ETD was submitted to the Graduate School and awaits review.
  • Step 6: After 1-3 business days, you will receive another email from ETD Administrator with required formatting edits to make. Make the edits, and submit the revised ETD via the same ProQuest login. You will receive another email with any additional required edits. Revise your ETD again. The process will continue until your formatting is approved.
  • Step 7: After formatting is approved, and approval forms are received, you will receive a congratulatory email from ETD Administrator stating that your paper has been accepted. At this point, your paper will be locked in the ProQuest system, and you will no longer be able to make changes to it. This locked version of your paper is your official SIU Thesis or Dissertation.
  • Step 8: Graduating Ph.D. students must complete the Survey of Earned Doctorates.
  • Step 9: The Graduate School will release your ETD to ProQuest after you graduate.

Requirements for Submitting the ETD

  • The document should appear in PDF format
  • No compression or password protection should be used
  • All fonts must be embedded in the document
  • External / Internal links to multimedia files should be identified in the Abstract
  • Use only acceptable file formats for multimedia files
  • ETD Options: (choose one)
    • Traditional (preferred)
    • Open Access (additional $95 cost in ProQuest) - Students may arrange for their work to be Open Access without a charge through OpenSIUC. (See below.)

Required Documents for ETD Approval

  • One Approval form
  • One Oral Defense form
  • Survey of Earned Doctorates (for Ph.D. students only)
  • IRB Letter / Human Subjects Committee Approval (if human subjects were involved)
  • IACUC Approval Letter (if vertebrate animals were involved)

Cost: Payable by credit card at the time of submission

  • $30.00 (Library copy)
  • $75.00 for Registration of Copyright (Optional)

Deadlines

Be sure to submit your ETD by the deadlines in order to graduate in a certain semester.

Initial Submission Deadline – ETD must be initially submitted at least one week prior to the Final Submission Deadline.

  • Fall and Spring – Week 12 of the semester
  • Summer – Week 3 of the semester
Final Submission Deadline – ETD must be submitted, defense passed, and approval documents signed and submitted.
  • Fall and Spring – Week 13 of the semester
  • Summer – Week 4 of the semester

Graduation Application Deadline – students must apply for graduation in order to graduate. Visit the Graduate School Graduation Office for more information.

OpenSIUC

After graduation, your ETD will be forwarded to OpenSIUC and will be available for on-campus viewing. If you would like to make your ETD globally available/Open Access (with no charge to you), reply to the OpenSIUC email that you will receive 4-6 weeks after graduation.
